[Payables](https://solutions.smartwebs.com/en-us/smartwebs-solutions/accounting?hsLang=en-us#payables) October 15, 2025 # User Guide - Vendor Recurring Invoices ## This guide provides an overview of the functionality of recurring vendor invoices in Smartwebs, with steps to setup and manage recurring invoices to vendors This feature helps with invoices received regularly that always charge to the same GL Code, have the same description, and/or the same amount. This feature can save time when entering invoices. Click Options drop-down menu on desired vendor line 2. Choose GL Account 4. Enter Default Description 5. Enter Recurring Amount (optional if amount changes month to month) 6. Enter another recurring invoice line if necessary 8. Save 9. Click on red X to delete a line #### Using Recurrences on Invoices 1. Payables 2. Invoices 3. \+ Add Invoice 4. Choose Vendor 5. Enter Invoice Number 6. Select Invoice Date 7. GL Date defaults to Invoice Date but can be changed 8. Due Date defaults to today’s date but can be changed 9. Enter Recurring Line Item Amount (this was left at $0.00 for an undetermined amount) 10. All 3 fields can be edited 11. Leave recurring line item in on Invoice 12. All 3 fields can be edited 13. Total tallies total amount of Invoice as line items are added or edited 14. Click the red X to delete line item if desired 15.
