User Guide - Violation Closed Letters
This guide reviews the use case for Closed Letters in Smartwebs Violations and how to create and manage them
What are Closed Violation Letters?
Closed violation letters can be created to send to the homeowner to alert them their violation has been closed.
- Managements can also take the opportunity to thank the homeowners for correcting their violations.
How are they sent?
When a violation is closed, a prompt will pop up asking if you would like to send a closed letter.
If a letter option is selected for Owner, Tenant, or Alternate Addresses, then a closed letter will go to the print tab and show under the "Closed" folder in the top right.
Select the "Closed" folder button to view the folder.
NOTE: If the association is utilizing automailing, this will be picked up the same as normal letters
Creating a Closed Letter Template
Below are the steps of how to create a Closed Letter Template
Step 1
Navigate to the letter templates section by going to Violations > More > Violation Options > Letters and then selecting the "Closed-Violations" tab.
Step 2
Each management company should have been given a basic template for setup.
Either Create a new template or Copy an existing template.
