User Guide - Violation CCRs

This quick training guide will go over the violation CCR's section, and how to create categories and subcategories

To get to the CCR's section of the site, ensure you are in the association whose CCR's you want to edit, and then select Settings > Manage > Association > CCRs

Once there, ensure that you are in the Violations tab of the CCR section of the site, as Architectural CCR's will also show here in their own tab.

CCRs Quick Process

Here we will quickly go over the process of creating new categories, subcategories (or CCR's), and what needs to be filled out to allow the CCR's to work with the Violations Module.

 


Step 1 - Create the Category

In the violations section of the CCR's page, select the green "New Category" button to create a new category

  • If you want to go straight to creating a new subcategory instead, skip to step 3

Step 2 - Category Details

Fill in the Category Name, and ensure "Is Enabled" is toggled on. If the category is disabled, it will not show when you try to create a violation with that category.

  • Once done, select "Save"

Step 3 - Create the Subcategory

For Violations, the CCR's are considered subcategories, and is where most of the information is stored for the module to pull from.

In the Category you just created, or in any existing one, select "New Subcategory" on the right hand side

Step 4 - Subcategory Details

In the New Subcategory Details section, add the Subcategory Name

  • You can also adjust duration period or change if the violation subcategory is Unit Based or Owner based.
  • The duration period refers to the number of full days after a violation is closed that it can be reopened
    • After the duration period ends, the violation goes to the archive.

Step 5 - Subcategory Call to Action (Required)

Select the yellow "Call to Action" button in the top right of the window, then fill in the Title and Text sections shown.

Call to Action is the verbiage added to violation letters regarding how homeowners are to resolve the violation.

Note: In this section, you must add the Call to Action Title and Call to Action text in order for a violation to be created for this subcategory.

Step 6 - Subcategory CCR Article (Optional)

Select the lighter blue "CCR Article" button in the top right of the window, then fill in the Article Name, CCR Title and Text sections shown blow.

Note: If this CCR Article is also being used by the ARC module, making changes here will apply these changes to both the Violations and Arc CCR Article.

  • CCR Articles are not required by the system in order to allow for violations to be made under the subcategory

Step 7 - Saved and Completed

Now that all of the information has been given, press the blue "Save" button in the top right of the window, and that will save your new subcategory CCR.

  • Below are some examples of what completed CCR subcategories look like (Note that CCR Articles are not required, but Call to Action Titles and Text are required)

Now that the subcategory Call to Action or CCR's have been edited/added, users can now create violations under that category/subcategory, and the information given will auto populate in the violation letters sent to the homeowners.

If you do not see the category/subcategory, please ensure all required fields are filled out properly, and that they are enabled/assigned to the correct subcategories.
