Guide to Using Tags in Smartwebs

Tags in Smartwebs are a versatile tool used to categorize owners or units. This guide will walk you through the process of creating, applying, and managing tags.

  1.  Creating Tags
  • Navigate to the Tags section via Communications > Association > Tags.

  • To create a new tag, click on the New Tag icon in the upper right-hand corner.

  • Selecting an Icon:
    • Hover over the question mark icon, scroll down to use a Popular Option preset icon, or copy one from Font Awesome for more specific icons.

  • Font Awesome Process: Search for the icon you wish to use via the search field.

    • After selecting an icon, click on it and copy the snippet.

    • Paste the code snippet in the designated area in the Smartwebs adjusting the code by removing any excess characters from the end of the code to the last instance of quotation marks.

    • Your selected icon will populate in the Tag Preview field.

  • Naming the Tag:
    • Enter a relevant name for your tag (e.g., "Board Member").
  • Tag Type:
    • Choose whether the tag applies to an Owner or a Unit (e.g., board members are owner-based).
  • Visibility:
    • Decide if the tag should be visible to residents. For example, a "Board Member" tag can be visible, while a tag like "Difficult Owner" should remain hidden.
  • Save the new tag.

2. Applying Tags to Owners or Units 

  • Go to the Units List and open an owner's details.
  • In the upper right-hand corner, click on Tags.
  • A list of available tags will appear. Click the Plus icon next to the tag you want to apply.
  • Save your changes.
    • The tag will appear in the upper right-hand corner of the unit’s profile once applied.

3. Mass Tag Application 

  • You can apply tags to multiple units or owners in bulk via a project with Smartwebs’ Professional Services department.
  • Steps for mass application:
    1. Create tags in the system.
    2. Provide a mapping spreadsheet that outlines the tags and corresponding units (using separate tabs for each tag).
    3. Submit this spreadsheet to Smartwebs via email at support@smartwebs.net for processing.
  • Cost: A $250 charge applies for mass tagging.

4. Managing and Updating Tags 

  • Once tags are applied, maintenance is minimal. For instance, if someone is no longer a board member, simply go to their profile, click on Tags, select the Trash Can icon next to the tag to remove it, and Save
