FAQ - What will and won't change if I use a custom email domain and sender email address in Smartwebs?
Learn what changes and what stays the same when configuring a custom email domain and sender email address in Smartwebs, including ARC and Violation letter reply behavior, work order emails, sender options, and common implementation questions.
Smartwebs allows you to send system-generated emails using an email address from your organization's domain (for example, notifications@yourhoa.com) instead of the default Smartwebs sender ( no-reply@email.smartwebs.com) address.
This enables Smartwebs clients to provide email recipients with a more familiar and trusted email sender and allow you to control where email replies are directed.
Below are answers to the most common questions about what will change--and what will stay the same, after your custom domain email sender is configured.
Q: What changes when I use a custom email domain?
A: The default Smartwebs sender email address will be replaced with an email address from your organization's domain.
Before: the default Smartwebs sender is used
no-reply@email.smartwebs.com
After: one email address which you select from your domain is used, for example:
info@yourdomain.comsupport@yourdomain.comnoreply@yourdomain.com
Q: Does the email address have to be new?
A: No. You may use:
- An existing email address on your domain
- A newly created email address specifically for Smartwebs
The choice is entirely yours. The only requirement is that the email address belongs to your organization's verified domain.
Q: Can I use a "no-reply" email address from my domain?
A: Yes. Many organizations choose to use an address such as:
no-reply@yourdomain.com
This is a good option if you prefer recipients to contact your team using the email address or phone number provided within your communications rather than replying directly to the email.
If your no-reply mailbox is configured to send automatic responses, you may also choose to direct recipients to the appropriate department or contact information.
Q: Can I use a monitored email address instead?
A: Absolutely. If you use an address such as:
info@yourdomain.comsupport@yourdomain.commanagement@yourdomain.com
recipients who click Reply will have their response delivered to that mailbox.
Q: Where do email replies go?
A: Replies are sent to the email address you designate as your sender address.
If you use:
- A monitored mailbox, replies will be delivered there.
- A no-reply mailbox, recipients will receive whatever behavior your email system is configured to provide (for example, no response or an automatic reply).
Q: Will this affect my existing Work Order email routing?
A: No. Work Orders use their existing trigger-based email routing configuration.
If your Work Order workflows are currently configured to send replies or notifications to specific departments or individuals, those settings will remain unchanged after enabling a custom email domain.
Q: Which Smartwebs emails will use my custom sender address?
A: The custom sender address replaces the default Smartwebs sender email for system-generated emails that currently originate from the Smartwebs email domain.
Work Orders continue to follow their existing workflow and trigger configuration where applicable.
Q: Can I change the sender email address later?
A: Yes. The sender name displayed to recipients remains configurable by Smartwebs so you can request Smartwebs to change it to a different email address on your verified domain at any time.
For example, you could change from:
info@yourdomain.com
to
notifications@yourdomain.com
There is no additional cost to change the sender email address after your custom domain has been configured, as long as it uses the same domain.
Q: Does changing the sender email affect my domain configuration?
A: No. Once your custom domain has been successfully configured and verified, changing the sender email address within that same domain does not require additional domain setup.
For example, changing from:
info@yourdomain.com
to
no-reply@yourdomain.com
does not require your DNS records to be updated again.
Q: Will recipients notice any other changes?
A: No. Aside from seeing your organization's email address as the sender, the email content, delivery process, and Smartwebs functionality remain the same.
Q: What does not change?
A: Enabling a custom email domain does not:
- Change the content of your emails.
- Change your Smartwebs workflows.
- Affect how communications are generated within Smartwebs.
- Require you to create a new email address (unless you choose to).
- Change your Work Order trigger routing including where work order replies are sent.
Only the sender email address displayed to recipients changes.
