[General Ledger](https://solutions.smartwebs.com/en-us/smartwebs-solutions/accounting?hsLang=en-us#general-ledger) October 15, 2025 # User Guide - Chart of Accounts ## This guide provides an overview of the Chart of Accounts feature in Smartwebs, with step-by-step directions for users The Chart of Accounts contains all the General Ledger Accounts assigned to the association from the Global Accounts.  #### **Adding a GL to the Chart of Accounts** 1. Navigate to: Accounting \> GL \> Chart of Accounts 2. Select the blue "+GL Account" button 3. Check the box next to each GL you want to add 5. Select the Fund for each GL 6. Select the Cost Center for each GL 7. Select the Report Category for each GL 8. Select the green pencil icon next to the General Ledger you would like to edit 2. A drawer will open where you can edit the following: 1. Name 2. Account Fund 3. Cost Center 4. Report Category 5. Child account designation 6. Delete Account 7. Disable Account 3. You can only select one Fund per GL #### **Cost Centers** - You can assign a cost center to the GL, however this can be changed when making transactions - If you want to only use one Cost Center for a specific GL, you can "lock" the Cost Center by selecting the lock icon next to Cost Center #### **Report Categories** - This is the area the GL will show up in for reporting #### **Deleting an Account** - Can only be deleted if there is no activity in the current period - Cannot be deleted if assigned to a Charge Code - Cannot be deleted if there is a budgeted amount in the current period (even if disabled) #### **Disabling an Account** - Disabled accounts will still remain in the budget - You will not be able to use the GL until activated #### **Parent/Child Accounts** - List Size - You can view All, 10, 25 or 50 rows at a time - Bank Account Column - If you select a bank account from the bank account column, you can make changes to: - Name - Description - Account Type - General Ledger Details - Select the row for a GL - In the Pop-Up you will be able to: - Search for any text used in a transaction - Change the date range (Select the "Filter" button after - The "Clear" button will show all activity in the specified GL -
