SmartArchitecturals tracks all project requests, documents, member votes, comments, and approval summaries, enabling effective communication and historical tracking.
Notifications
The site automatically notifies you via email when new project requests are ready for review, when Committee members make comments or updates, and when projects are getting close to expiring. Each email contains a link to quickly access what you need.
Getting Started
Login at URL: office.smartwebs.net or click on the project link in your email notification, then enter your username and password.
If you forget your login or haven’t received it yet simply click ‘Need your username or password?’, enter your email address, and your login details will be emailed to you immediately.
Navigate the Site
The menu bar in the SmartArchitecturals is easy to find and very intuitive.
Click the Project List link to review ARC project information, vote, add comments and indication final decision. Reports give you charts and graphs for all project submittals. Support is where you can view support materials that will assist you in making approval decisions and where you can update your profile or change your password. Support Center contains User Manuals to help you get familiar with the site’s functionality. Logout brings you out of your association’s site and back to the login page. Close down your browser instead of clicking Logout if you want the system to remember you next time you return to the site.
Review Projects
The Project List is divided into four tabs: ‘Review, Completed, Staged and Build. The Current Projects tab contains all the projects that are new or under review. To review a project, click the project.
Once open, you will be able to see all project information and documents.
Compare Community Guidelines
Comparing pending project requests to Community Guidelines can be done easily in the CC&R’s Tab.
Information that might be posted there by your Property Manager or Committee Chair might include Governing Documents, Neighborhood Maps, links to City Permits or zoning guidelines, and any other information that would benefit the ARC Committee in making timely and accurate decisions.
Make Decisions
Once a decision for a project request is made by the Committee, the Committee Chair has the authority to change the final project status. If the project is Approved with Conditions or Declined, they will be prompted to enter the stipulations for approval or reasons for denial to be included in the letter to the homeowner.
The project is then moved to the “Completed Tab or Declined/Withdrawn Tab” and the letter that was created and emailed to the homeowner is added to the project’s document section for complete historical records.
