Arc Reports Overview

To Access the report page, go to Arc Module and Reports  

Types of report      

 

Shown above from number 1 to 6 are the types of reports in Arc Module. 

As a layout the reports have 3 formats  

  • Community Arc reports (Community Arc Summary and Community Arc Detail Reports) 

 

  • Statistics Reports (Completed, Uploaded, and pending Projects) 

 

  • Modification report (Architectural Modification Report) 

 

 

Detail filter and result for each report 

Community Arc Detail Report 

 

 

Filter View (Use the step provided in the above image) 

  1. Select association from List of Association dropdown – default to the association selected  
  2. Date Filters Start date is From and End Date is to (by default from is one month prior to today’s date and to is today’s date) 
  3. Expand More filter option and Select project Status checkbox (also can use none or all options) – default all status checked  
  4. Include Forum history – default checked 
  5. Include System Notes – default unchecked 
  6. Include Tag Names – default unchecked 
  7. Include Extra column – default unchecked (will only be available if the association has Extra column added in Arc > More> Additional setting > Extra Column Info Setup) 

 

  1. List of Tags for the associations both Owner and unit Tags - (by default all checkboxes are unchecked and also use none or all options) 
  2. Show Entity Id – default unchecked (Current added for FSR only- EntityId allows them to track the name of their HOA via a special code in order to handle reporting across regions, communication and other purposes. - it is available for all management in Smartwebs) 
  3. Select Build Status has all and none option for ease of use – by default all checkboxes are unchecked 
  4. Once all setting is selected based on report required Click Run report button to see the results 

Report result (use the step provided in the screenshot below to show results) 

 

 

  1. Current Date – report Date 
  2. Current User – login user 
  3. Report title – based on the filter used 
  4. Association name 
  5. Date range for created projects 
  6. Unit address and Owner information detail 
  7. Build Completion status of the project – if any 
  8. List of Tag names separated by comma – if any 
  9. Extra column name with value – if any 
  10. Forum History with detail information like date, entered by, project Status/User vote and description 
  11. System notes with detail information like date, entered by, project Status and description 
  12. Number of units to display per page by default it is assigned to 10 but drop down has option (1,5,10, and 25)

  2. Number of pages 
  3.  Has two export option as a pdf and excel click each icon to view the report result in PDF and Excel.

Community Arc Summary Report 

All filter settings are the same except number 4, 5,6 and 7 in filter view screenshot 

Report result Title changes and result differs it only shows Unit address, Owner information, Project name, Status, Submitted Date Decision Date and Ref #. 

 

  1. Project Detail Information 
  2. Unit owner Detail information 

 

Result Exported the same as the Detail report based on the filter result output. 

Additional Functionality for Community Arc Reports 

The community Architectural Summary and detail report have one thing in common to export Multiple association reports in Excel format  

 

  1. Select more than one Association from list of associations Run report button will gray out 
  2. Use Export to Excel to export a list of projects based on the filter setting provided as an excel document. 


Statistics Report  

 

Filter view for Uploaded, Pending and Completed projects. (Use the steps provided in the above screenshot) 

  1. Types of report (default to the one customer navigates) 
  2. Range Types are 2 monthly and date range (default to Monthly) 
  3. For monthly Range type we have to select the latest month where the reports filter ends (Only shows the last 12 months from current month) 
  4. Once we select the Latest month, we need to choose the number of months we need to view back from the latest month. (Default is 9 but allowed to select up 13 months) 

Example if we choose Dec 2023 and months back 12 it will view all data from Jan 2023 up to Dec 2023. 

  1. View Option is only available for Uploaded Projects and it gives an option to view the report as a grid and table. 

    

  1. Another filter option other than the default is to choose Range Type Date Range and filter the report based on Beginning date and end date. (Start date and End date cannot be greater than current date and Beginning Date default to 1 month prior to today’s date and end date defaults to today’s date) 
  2. Click refresh to view the requested result 

 

Report results for Uploaded, Pending and Completed projects. (Use the steps provided in the screenshot below) 

 

  1. Default to show total only for view type chart. For Upload Projects, it has other options show details only and show both to be used with Grid and table view. 
  2. Print the report 
  3. View the chart report in Grouped or stacked form, need to be clicked to change the state. (Default to Grouped) 
  4. Number of Project Uploaded  
  5. Name of months for each number of projects.

  1. Number of total Projects uploaded in each month per management 
  2. Number of projects uploaded for each association in the management 
  3. Name of associations 
  4. Primary contact for the association 
  5. Name of the month (report view for grid is almost the same except grid view has an option to export using pdf and excel) 

 

  1. The result for pending and completed projects include the chart and the table in one page and has project status column. 
  2. The result for pending and completed projects also have an option checkbox Show Totals. (Checked by default) 
  3. The result for the pending projects has a column name different than month name which refers to the last 15 days, the last 16 to 30 days and so on. 

 

Note: Hover over the Grouped or Stacked bar charts to view the exact number of projects uploaded, pending and completed.  

 

Arc Modification report 

 

 

 

  1. Report title. 
  2. Option to filter report based on Unit address, category and Owner name. (Default to Unit Address) 
  3. List of Project Status for filter. (Default to Project Status) 
  4. List of Project Build status for filter. (Default to Build Status) 
  5. Search result based on filter provided. 
  6. Total Number of results. 
  7. Total number of Selected Projects to be viewed or exported. 
  8. Select all – Select all projects after the filter result, Select Page – select the page to be exported based on the page number, and unselect all – unselect all result after filter. 

Report Result for Modification report (Please refer step provided on the screenshot below) 

 

  1. Today’s date  
  2. Report title 
  3. Association name 
  4. Date meeting is going to be held 
  5. Name of committee member to be present 
  6. Committee members signature 
  7. Number of plans to be reviewed 
  8. Name of management Staff present 
  9. Column name of the report exported 
  10. Row of data for each project based on the filter result.
