Once the HOA has been deactivated from the current management company, you have up to six months from the deactivation date to request the HOA data transfer. --- ### **What Does the Transfer Service Include?** - Moving the HOA with all Unit and Owner information which is available in Smartwebs from the prior management's Smartwebs site to the new management's Smartwebs site \*or via api import if applicable - Moving all current and historical Architectural and Violations activities which were performed in Smartwebs from the prior management site to the new management site - Mapping and configuring the HOA in the new management site - Internal data validation of transferred Owner/Unit data, Arc records, Violation records  - Client final validation process of items transferred including working with Smartwebs to normalize any data discrepancies ### **What Is Needed to Begin the Transfer?** #### **1. Confirmation from the Current Management Company** We will need an email from the current management company confirming they will no longer be managing the HOA. **Email:** [support@smartwebs.net](mailto:support@smartwebs.net) **Subject Line:** Cancellation – \[Name of HOA\] --- #### **2. Transfer Request from the New Management Company** The new management company must submit a transfer request email. Please note: - The transfer process will begin the day after the HOA is no longer active with the current management company. - If the new management company is not currently a Smartwebs client, they must first sign a contract with Smartwebs before the HOA can be transferred. If the new management company is not a current Smartwebs client, please contact: **Email:** [sales@smartwebs.com](mailto:sales@smartwebs.com)  Once the new management company has been created within Smartwebs, they will need to send the official transfer request to: **Email:** [support@smartwebs.com](mailto:support@smartwebs.com) **Subject Line:** \[Name of HOA\] Transfer Request --- ### **Estimated Transfer Timelines** #### **Standard Transfer** Approximately 2–4 weeks #### **Expedited Transfer** Approximately 7–10 business days --- ### **Explanation of Charges** #### **1. Standard Transfer Fee** The standard transfer fee is calculated at three times the monthly service fee listed in the HOA’s current contract. **Example:** Monthly service fee: $100 Transfer/setup fee: $300 --- #### **2. Expedited Transfer Fee** Expedited transfers are billed at five times the monthly service fee. This option moves the transfer request to the front of the queue and reduces the estimated transfer timeframe from approximately 2–4 weeks to 7–10 business days. --- #### **3. Historical Data Transfer Fee** There is an additional one-time $150 fee for a Transfer of the HOA’s historical data. --- ### **How Do I Obtain the Exact Cost?** To obtain the exact transfer cost, please contact the management company that will be taking over your HOA.
