FAQ: How Do I Transfer My Current HOA to a New Management Company?
This article outlines the process, requirements, timelines, and fees associated with transferring an HOA and its historical data from one management company to another within Smartwebs.
HOA Transfer Between Management Companies: Overview
If your HOA is moving to a new management company, Smartwebs can assist with transferring the association and its historical data.
Once the HOA has been deactivated from the current management company, you have up to six months from the deactivation date to request the HOA data transfer.
What Is Needed to Begin the Transfer?
1. Confirmation from the Current Management Company
We will need an email from the current management company confirming they will no longer be managing the HOA.

2. Transfer Request from the New Management Company
The new management company must submit a transfer request email.
Please note:

The transfer process will begin the day after the HOA is no longer active with the current management company.

If the new management company is not currently a Smartwebs client, they must first sign a contract with Smartwebs before the HOA can be transferred.

Standard Transfer
Approximately 2–4 weeks
Expedited Transfer
Approximately 7–10 business days
Explanation of Charges
1. Standard Transfer Fee
The standard transfer fee is calculated at three times the monthly service fee listed in the HOA’s current contract.
Example:
Monthly service fee: $100
Transfer/setup fee: $300
2. Expedited Transfer Fee
Expedited transfers are billed at five times the monthly service fee.
This option moves the transfer request to the front of the queue and reduces the estimated transfer timeframe from approximately 2–4 weeks to 7–10 business days.
3. Historical Data Transfer Fee
There is an additional one-time $150 fee for a Transfer of the HOA’s historical data.
How Do I Obtain the Exact Cost?
To obtain the exact transfer cost, please contact the management company that will be taking over your HOA. They will reach out to support@smartwebs.com for next steps as needed.
